181,111 Indian Schengen applications were refused in 2025. Consulates do not publish reasons by nationality, but refusal letters use a standard form with numbered boxes, and the same handful of boxes appear on the letters we review week after week. Behind each box is a small set of concrete mistakes, most of them visible in the file before it is submitted. Here are the fifteen we see most, what each triggers, and how to fix it.

If you already have a letter, read it alongside our tick-box guide; the numbers below refer to the same boxes.
Purpose of stay (box 2 and box 10)
1. Applying to the wrong consulate
The country of your main destination (most nights; first entry if equal) decides the file. Applying to Germany for a trip that is mostly Italy is a refusal, and it is the one mistake nothing else in the file can fix. Fix: fix the nights per country first, then apply the main-destination rule.
2. Itinerary and bookings that disagree
Three nights in Rome on the itinerary, two nights booked. A flight into Paris on the ticket, an itinerary that starts in Amsterdam. Officers cross-check every date. Fix: build the bookings from the itinerary, night for night; our template forces the match.
3. A cover letter that says nothing
“I wish to visit Europe for tourism” is not a purpose; it is a category. Fix: what, when, where, who pays, why you return, and a list of enclosures, on one page. See the cover letter guide.
4. Reservations cancelled before the decision
Consulates verify hotels and flights. A booking cancelled to save money after submission is box 10 (information not reliable). Fix: use free-cancellation bookings and leave them in place until the passport is back.
Means of subsistence (box 3 and box 4)
5. Statements too short or unstamped
Three months minimum, six for the self-employed; stamped if the checklist says so. Fix: the bank statement rules.
6. A large deposit in the last 60 days
The single most common funds refusal. Borrowed money parked for the visa looks like exactly that. Fix: explain any recent credit with evidence in the cover letter, or move the money 60 days earlier.
7. Balance below the country’s daily figure
Each consulate applies a per-day amount times your days, plus unpaid bookings. Falling short is arithmetic, not judgement. Fix: the per-country table in proof of funds.
8. A sponsor with no paperwork
“My father will pay” with no affidavit, no relationship proof and no sponsor statements is refused on box 3 or 4. Fix: the sponsor declaration plus the sponsor’s own documents.

Document reliability (box 11 and box 12)
9. An employer letter that cannot be verified
No letterhead, no landline, an HR contact who does not answer. Consulates call. Fix: letterhead, a named signatory with designation, a verifiable phone and email, and a heads-up to HR that a call may come. Wording in the employment letter guide.
10. Edited or “arranged” documents
A PDF statement with a changed balance, a letter drafted by an agent on a company’s name, a fake invitation. Box 12 is the one box that follows you: it is recorded and colours every later application. Fix: never. If a document does not exist, the file is built without it.
11. Contradictions between form and documents
“Single” on the form, a spouse in the cover letter; “employed” with no employer letter; different dates on the form and the ticket. Fix: fill the form last, from the documents, using our field-by-field guide.
Intention to return (box 13)
12. No leave letter, or leave shorter than the trip
A 14-day trip with 7 days of approved leave says you are not coming back on time, or not at all. Fix: an employer letter that sanctions leave covering every day of the trip, with the return-to-work date.
13. Thin ties with no explanation
Between jobs, recently resigned, no property, family already abroad: none of these is a refusal on its own, but all of them unexplained together are. Fix: state the situation and evidence what does exist; see the between-jobs guide and the ties page.
14. Hiding a previous refusal
Every refusal is in the Visa Information System. Ticking “no” to the previous-refusal question when the answer is yes is a false statement on top of whatever the original problem was. Fix: disclose it, and show in the cover letter what has changed.
Insurance (box 16)
15. Insurance that misses by a day, a euro or a country
Cover of ₹25 lakh that converts to under €30,000; a policy that starts the day after your flight lands; a policy valid in “Europe” but not all Schengen states. Fix: €30,000 or more, all Schengen states, from departure day to return day inclusive. The insurance guide lists what is accepted.
A pre-submission check that catches all fifteen
Before you book the appointment
Nights per country decided and the consulate identified. Passport valid 3 months beyond return, 2 blank pages. Statements ordered for 3 to 6 months. Any recent deposit explained. Balance above the per-day figure plus unpaid bookings plus reserve.
Before you submit
Every itinerary night has a booking in your name. Cover letter lists enclosures and they are all there. Employer letter covers every trip day. Insurance dates and amount checked. Form filled from the documents, previous refusals disclosed. Nothing edited, nothing arranged.
These fifteen mistakes account for most of the refusals we see, and every one is fixable before submission. If you would rather have someone else run the check, that is what the FastVisa123 filing service does for a flat ₹50,000 / $500 (GST included).
Want the fifteen-point check run on your file?
We review jurisdiction, statements, bookings, letters, form and insurance before anything is submitted, then file the complete application. Flat ₹50,000 / $500 (GST included).
Frequently asked questions
What is the most common reason Indians are refused a Schengen visa?
Funds (box 3) and purpose of stay (box 2), usually from short or unstamped statements, a recent unexplained deposit, or an itinerary that does not match the bookings.
Can I be refused for applying to the wrong country?
Yes. The consulate of your main destination must decide the file. Applying elsewhere is a refusal that no other document can offset.
Does a previous refusal have to be declared?
Yes. It is recorded in the Visa Information System. Failing to declare it is a false statement in addition to the original problem.
Can I cancel my hotel booking after submitting?
Not before the decision. Consulates verify bookings; a cancelled reservation is treated as unreliable information (box 10).
Is a small insurance shortfall really a refusal?
Yes. Cover must be at least €30,000, valid in all Schengen states, for every day of the trip. A policy that starts a day late or converts to €29,000 is refused on box 16.
Are these mistakes fixable before submitting?
All fifteen. They are visible in the file, which is why a careful pre-submission check prevents most refusals.
