Cover Letter for a Schengen Visa When Visiting Family or Friends: Template and Example

A cover letter for visiting family or friends is a different document from a tourist cover letter. The consulate is not asking “is this a plausible holiday?”; it is asking “who is this host, what is the relationship, who pays, and why will the applicant leave a relative’s home to come back to India?” A letter that answers those four questions clearly, on one page, does more for a family-visit file than any other document except the bank statements.

Below is the structure, a free template, a filled example for a common Indian scenario, and the mistakes that turn a family visit into a box 2 or box 13 refusal.

What the family-visit letter must contain

  • The host’s full name, address, relationship to you, and immigration status in that country (citizen, permanent resident, work permit, student).
  • The exact travel dates and where you will stay: at the host’s home, with the invitation letter attached.
  • Who is paying for flights, stay and daily expenses, and which enclosed documents prove it.
  • Your reasons to return, stated as facts with documents: employment and leave, business, property, dependants.
  • A list of enclosures. Signed and dated, with phone and email.

Why family visits get refused more than holidays

Visiting a relative who lives in Europe raises the exact concern the Visa Code asks officers to test: intention to return. If your child, sibling or partner is settled in Germany, the officer’s first question is whether you intend to settle too. That is not an accusation; it is the standard check. The letter’s job is to make the answer obvious: your life is in India, and here is the evidence.

The second common failure is the host. An invitation letter with no proof of the host’s status, no address proof, and no explanation of the relationship reads as unverifiable. If the consulate cannot confirm who the host is, box 10 (information not reliable) follows.

A filled example

A 58-year-old retired teacher from Pune visiting her daughter, a software engineer on a German Blue Card in Munich, for four weeks:

Subject: Application for a Schengen visa to visit my daughter in Munich, 4 to 31 October 2026

1. I am applying to visit my daughter, Priya Deshmukh, who lives at Leopoldstrasse 000, 80802 Munich. She holds an EU Blue Card valid until March 2028 (copy enclosed) and has invited me for four weeks (formal invitation and Verpflichtungserklärung enclosed).

2. I will fly Pune to Munich on 4 October and return on 31 October 2026, a 27-day stay, and will live at my daughter’s home throughout. My return ticket is reserved (enclosed).

3. My daughter will cover my accommodation and daily expenses under the enclosed Verpflichtungserklärung. I will pay for my flights and insurance myself; my pension account statements for six months are enclosed, with a closing balance of ₹6,40,000.

4. I am a retired government school teacher receiving a monthly pension of ₹42,000 (pension order enclosed). My husband remains in Pune, where we own our home (sale deed enclosed). I visited my daughter in 2024 on a Schengen visa and returned on time (copy enclosed).

5. Enclosures: as listed above.

Notice what the letter does: it names the host’s exact status and document, states who pays and points at the proof, and gives three concrete ties (pension, spouse, property) plus a prior visa. Nothing is argued; everything is evidenced.

Mistakes that get family-visit letters refused

Avoid

Saying “tourism” on the form and “visiting my son” in the letter. Omitting the host’s immigration status. A host who “will pay for everything” with no sponsorship form or statements. A stay longer than your approved leave. Emotional appeals (“I have not seen my daughter in three years”) in place of documents.

Do instead

Tick “visiting family or friends” on the form and match it in the letter. Enclose the host’s passport or permit and proof of address. Use the country’s formal sponsorship form where one exists (Germany, Netherlands, Belgium, Switzerland, Austria all have one). Keep the stay inside the leave. State the emotion in one line at most, then give facts.

Country notes

  • Germany: a host sponsor must sign a Verpflichtungserklärung at the local Ausländerbehörde; a plain letter is not enough for sponsorship.
  • France: a host must obtain an attestation d’accueil from the mairie for stays in a private home.
  • Netherlands: the sponsor completes the “proof of sponsorship and/or private accommodation” form, legalised by the municipality.
  • Italy, Spain, Portugal, Greece: an invitation letter with the host’s ID and proof of address is normally sufficient; Spain and Italy may require a carta de invitación or dichiarazione di ospitalità for stays in a private home.
  • Switzerland: a declaration of sponsorship signed by the host, if the host pays.

Frequently asked questions

Is a cover letter mandatory for a family-visit Schengen visa?

Not formally, but every consulate expects one, and for family visits it is the document that explains the host, the funding and your ties. Files without one are read as incomplete.

Who writes the cover letter, the applicant or the host?

The applicant writes the cover letter. The host writes a separate invitation letter and, where the host pays, completes the country’s sponsorship form.

Should the cover letter mention that my host will pay?

Yes, explicitly, and it must point to the enclosed sponsorship form and the host’s bank statements. A vague ‘my son will take care of me’ is a refusal risk.

How long should the cover letter be?

One page. Five short paragraphs: purpose and host, travel plan, funding, ties to India, enclosures.

Can I visit family and do tourism on the same visa?

Yes. State the family visit as the main purpose, list any side trips with dates, and make sure the main-destination rule still points at the right consulate.

What is the biggest reason family-visit applications are refused?

Doubt about intention to return (box 13), because a relative is settled in Europe. The letter must evidence your job, property, dependants and travel history in India.
