Germany Urgent Business and Trade Fair Visa Appointments From India (2026)

If you need to be in Germany for a client meeting, training or a trade fair within the next few weeks, the normal VFS calendar is often the problem, not the visa itself. To ease that, the German Missions in India run two dedicated appointment categories for short-notice business travel: “Urgent business” and “Trade fair urgent”. They cost nothing extra, but they come with strict rules, and booking the wrong category gets your appointment cancelled.

Key facts (German Missions in India, updated June 2026)

  • Two categories: “Urgent business” (meetings, training, conferences, guest scientists, work, paper presentations) and “Trade fair urgent” (exhibitors only).
  • Travel must start within four weeks of booking the appointment, otherwise VFS will not accept the application.
  • No extra fee beyond the normal visa fee (€90) and VFS service charge.
  • Faster appointment, not a faster decision. Processing is still up to 15 days.
  • New slots are released weekly at short notice, so check often.
  • You can book at any VFS centre in India for a German Schengen visa, not only the one for your state.

Which category fits your trip?

Your purpose Category to book
Business meetings, negotiations, factory or client visits Urgent business
Training, conferences, presenting a paper Urgent business
Guest scientist or short work assignment on a Schengen visa Urgent business
You are exhibiting at a trade fair (you have a stand) Trade fair urgent
You are visiting a trade fair as a buyer or attendee Not “Trade fair urgent” (exhibitors only). Use the regular business category, or Urgent business if the visit includes meetings that qualify.
Tourism, family visits, studies Neither. Use the regular appointment categories.

The German Missions are explicit that other purposes are not accepted in these categories. If VFS finds the booking does not match the purpose, the appointment is treated as cancelled and you must rebook, and VFS can do this without asking the consulate first.

Can my spouse come along?

Yes, with one condition. A spouse travelling for tourism can apply in the same urgent category if their travel dates are the same as yours. If the dates differ, the spouse’s application will not be accepted in the urgent category and they must book a regular appointment.

Documents to prepare for an urgent business application

The urgent category changes the queue, not the checklist. Bring a complete business file, because missing documents slow things down regardless of category:

  • Application form (VIDEX) and declarations, passport issued within the last 10 years with at least three months’ validity beyond the trip, and photos.
  • Invitation letter from the German company or event organiser, with dates, purpose and who pays costs.
  • Covering letter from your Indian employer confirming your role, the purpose and that your job continues after the trip.
  • For exhibitors: exhibitor registration or stand confirmation from the trade fair organiser.
  • Company documents (registration, GST), recent bank statements and ITRs, especially if you are self-employed or a director.
  • Travel medical insurance (minimum €30,000 cover), flight reservation and hotel booking.

How to book

  1. Go to the VFS Germany India site (visa.vfsglobal.com/ind/en/deu/) and log in.
  2. Choose the category that matches your purpose exactly: “Urgent business” or “Trade fair urgent”.
  3. Check every major city. Germany lets you apply at any VFS centre in India, so if Mumbai is full, Bengaluru, Delhi or Kolkata may have slots.
  4. Book only if your travel starts within four weeks. Plan the remaining time: up to 15 days for the decision plus courier time.

Timing reality check. Four weeks before travel is the latest you can use these categories, and processing can take up to 15 days. Apply on the first available slot, and do not book non-refundable flights or stand fees on the assumption that the visa will arrive in time.

Planning further ahead? Book the regular route

Big trade fairs (Hannover Messe, IFA Berlin, the Frankfurt fairs, Bauma in Munich) are known months in advance. If your fair is more than four weeks away, use the regular business appointment: Schengen applications can be lodged up to six months before travel. Frequent business travellers should also look at Germany’s multi-year visas: see our guide to the Schengen cascade.
