This Refund Policy explains how the ₹10,000 service fee charged by FastVisa123 is treated. Please read it carefully before making payment.

Summary in one line: The ₹10,000 service fee is non-refundable. We charge for the work of preparing your visa file, not for the embassy’s decision.

1. What you are paying for

The ₹10,000 fee covers the work our team performs on your behalf:

  • Profile assessment and consulate-specific guidance.
  • VFS / consulate appointment booking and the VFS service fee.
  • Drafting your personalised cover letter.
  • Preparing dummy flight reservations (verifiable PNR, used for the visa file).
  • Preparing hotel bookings used for the visa file.
  • Building your day-wise itinerary.
  • Issuing your Schengen-compliant travel insurance.
  • Filling your application form online and offline.
  • Compiling and arranging your final document file in embassy-required order.
  • WhatsApp support throughout the process.

This work is delivered before you submit your file at VFS. It is the deliverable, regardless of the embassy’s final decision.

2. Why the fee is non-refundable

Visa approval is the embassy’s decision and is entirely outside our control. Our 99% historical success rate reflects how well-prepared our files are — it is not a guarantee. Refunding the fee on rejection would mean charging only when the embassy grants the visa, which is not how visa filing services work anywhere.

By proceeding with payment, you agree that the ₹10,000 covers our preparation work and is non-refundable in the situations listed below.

3. Situations where no refund is provided

  • Visa rejection by the embassy. The embassy is the sole decision-maker. We have prepared and delivered your file regardless of outcome.
  • You cancel your trip. Once we have started preparing your file, the work is already done.
  • You miss your VFS appointment. Re-booking, where possible, will be charged separately.
  • Visa delay or processing time. Embassies set their own timelines. We cannot speed them up or refund based on delays.
  • You change your travel dates after preparation has started. Your cover letter, itinerary, dummy flights, hotel bookings and insurance are all built around your declared dates. Any subsequent date change requires a fresh file at additional cost.
  • You provide inaccurate or incomplete information. If documents are missing or incorrect and we cannot proceed, we will pause work — but the fee remains non-refundable.
  • Embassy requests additional documents that you cannot provide. We will assist you, but the work we have already done remains chargeable.

4. Limited refund situations

We will offer a refund or partial refund in the following narrow cases:

  • We are unable to start your file due to a fault on our side (e.g. inability to deliver because of an internal issue), and you have not received any deliverables from us.
  • Duplicate payment. If you accidentally paid ₹10,000 twice for the same applicant, the duplicate amount is refunded in full.
  • Payment received but no work performed within 7 working days due to our delay (not yours), and you choose to cancel before we start.

In these cases, please email hello@fastvisa123.com with proof of payment. Eligible refunds are processed within 7–10 working days to the original payment method.

5. The embassy visa fee is separate

The ₹10,000 paid to FastVisa123 does not include the embassy / Schengen visa fee (currently approximately €90 / ~₹10,000 for a short-term tourist visa). This is paid directly by you to the embassy or VFS centre. Refunds for the embassy fee, if any, follow the embassy’s own rules — we have no involvement in or authority over them.

6. Travel date changes

Once your payment is cleared, we begin preparing your file immediately. Your travel dates form the basis of every document we generate. Travel dates cannot be changed after preparation begins. If your plans change, you must start a fresh application; the original ₹10,000 will not be refunded.

7. Disputes and chargebacks

If you have a concern about a charge, please email us first at hello@fastvisa123.com. We will respond within 3 working days and aim to resolve genuine concerns quickly. Initiating a chargeback or payment dispute without first contacting us may result in suspension of your application.

8. Changes to this policy

We may update this Refund Policy. Changes apply only to applications made after the “Last updated” date at the top of this page. Existing applicants are governed by the policy version in effect at the time of their payment.
